Automated Review Response
Respond to every Google, Yelp, and Facebook review within hours using AI-drafted, human-approved replies.
The Problem
Responding to reviews is one of the highest-leverage activities for local businesses — yet 75% of businesses never respond to a single review. Every unanswered review is a missed chance to show future customers you care. Responding increases trust, improves local SEO rankings, and often turns neutral reviews into positive ones. The problem is that writing thoughtful, unique responses takes time owners don't have.
Best For
Workflow Steps
Connect review platforms to your workflow
Use GHL, Birdeye, or a Make.com integration to pull new reviews from Google, Yelp, and Facebook into a central queue. Each review should capture: platform, rating, text, reviewer name, and timestamp.
Route by star rating
Automatically categorize: 4-5 stars go to the AI response queue. 3 stars get flagged for manager review. 1-2 stars go directly to the owner or manager for personal handling — don't automate negative review responses.
AI-draft the response
For positive reviews, send the review text to OpenAI with your brand voice guidelines. Generate a personalized response that references specific details from the review. Queue it for human approval.
Human review and post
A team member reviews the AI draft, makes any tweaks, and approves. The response is posted to the original platform. Target: same-day response for all reviews. This step should take under 30 seconds per review.
Track response rate and time
Monitor your average response time, response rate, and whether responded-to reviewers update their ratings. Aim for 100% response rate within 24 hours.
Copy-Paste Templates
Use these templates as-is or customize for your business.
You are the owner of [Business Name], a [business type] in [City]. Write a warm, genuine response to this positive review. Reference at least one specific detail the reviewer mentioned. Thank them by name. Keep it 2-3 sentences. Don't be generic or use exclamation marks excessively. Reviewer: [Name] Rating: [Stars] Review: [Text]
Hi [Reviewer Name], thank you for your feedback. We're glad [positive aspect they mentioned], and we take your note about [concern] seriously. We're always looking to improve — if you'd like to share more details, please reach out to us at [email/phone]. We'd love to earn that 5th star next time.
[URGENT] New [1-2 star] review on [Platform]: Reviewer: [Name] Rating: [Stars] Text: [Review text] This requires a personal response from [Owner/Manager Name] within 4 hours. Draft a response that acknowledges the issue and takes the conversation offline.
When NOT to Use This
Never automate responses to negative reviews without human review — a tone-deaf AI response to a complaint can go viral for the wrong reasons. Also don't use identical template responses for every review; reviewers and potential customers can tell when responses are copy-pasted.
